Administration & Business Manager
Part-Time: 20 hours/week to start | Room to grow

About the organization

The Civic Standard is a community cultural organization in Hardwick, Vermont, creating opportunities for people of all ages to connect, create, and build community through shared cultural events and mutual aid. As our organization continues to grow, we are looking for an organized, thoughtful, and collaborative professional to help build and maintain the systems that keep our work running smoothly.

Position Overview

The Administration & Operations Manager will oversee the day-to-day administrative, financial, and general business operations of the Civic Standard. This is a hands-on role for someone who enjoys bringing organization to complexity, creating systems that make everyone's work easier, and making sure the behind-the-scenes details are taken care of.

Working closely with the Executive Director and program staff, the Administration & Operations Manager will help ensure that the Civic Standard has strong financial practices, effective internal systems, and the administrative infrastructure needed to support our growing programs and organization.

This position begins at approximately 20 hours per week, with the potential to grow as the organization's needs and resources expand.

Key Responsibilities

Financial Management & Administration

  • Manage day-to-day financial operations, including accounts payable, accounts receivable, deposits, payments, and expense tracking.

  • Maintain accurate financial records and ensure transactions are properly documented and categorized.

  • Work with the organization's accountant and treasurer to support monthly and annual financial reporting.

  • Prepare financial information and reports for the Executive Director and Board of Directors.

  • Assist with annual budgeting, financial forecasting, and cash-flow planning.

  • Manage invoicing, vendor payments, reimbursements, and other financial administrative processes.

  • Support grant reporting and ensure financial documentation is available as needed.

  • Maintain organized records and documentation for audits, tax filings, grants, and other compliance requirements.

Human Resources

  • Coordinate administrative aspects of hiring, onboarding, and offboarding employees and contractors.

  • Support administration of payroll, benefits, leave, and other employee-related systems.

  • Help maintain and update employee policies, procedures, and the staff handbook.

  • Ensure the organization is meeting basic employment, insurance, and regulatory requirements, in collaboration with appropriate professional advisors.

  • Serve as a resource to staff for routine HR and administrative questions.

General Business & Organizational Operations

  • Oversee the organization's administrative systems and help establish clear, efficient processes.

  • Manage organizational records, contracts, licenses, insurance, subscriptions, and other business documentation.

  • Coordinate relationships with vendors, service providers, and professional advisors.

  • Maintain payment deadlines, renewals, and other important organizational requirements.

  • Provide general operational support to the Executive Director and staff as organizational needs evolve.

  • Participate in organizational planning and help translate decisions into effective systems and follow-through.

What We're Looking For

The ideal candidate is organized, dependable, detail-oriented, and comfortable wearing multiple hats. You don't need to know everything on day one, but you should be someone who enjoys figuring things out, building systems, and taking ownership of important details.

We are looking for someone with:

  • Experience in nonprofit administration, business operations, finance, HR, or a related field.

  • Strong organizational and project-management skills.

  • Comfort working with budgets, financial records, spreadsheets, and basic accounting concepts.

  • Excellent attention to detail and follow-through.

  • Ability to manage confidential information with discretion.

  • Strong written and verbal communication skills.

  • Ability to work independently while collaborating effectively with a small team.

  • A practical, problem-solving approach and willingness to jump in where needed.

  • Comfort working in an evolving organization where priorities and systems may continue to develop.

Experience with nonprofit finance, accounting software, payroll systems, or HR administration is a plus. Experience working in an arts or community-based organization is welcome but not required.

Hours & Growth

This position will begin at 20 hours per week, with a schedule developed collaboratively around the organization's needs and the candidate's availability. As the Civic Standard grows, there is potential for the position to expand in hours and responsibility.

Compensation

$25/hour. The Civic Standard has an equitable pay structure and all employees begin at the same level. For this position however, the organization will consider increased compensation commensurate with experience. (The Civic Standard will consider benefits and/or additional professional development opportunities as the position grows.)
